What data we collect

When you submit an enquiry via our contact form, we collect your name, email address, and any information you include in your message. We may also collect your company name and phone number if you provide them.

We do not use cookies beyond those strictly necessary for the website to function, and we do not use tracking or advertising cookies.

How we use your data

We use the information you provide solely to respond to your enquiry and, where you become a client, to deliver the accountancy and bookkeeping services you have engaged us for. We do not sell, rent, or share your personal data with third parties for marketing purposes.

Legal basis for processing

We process your data on the basis of legitimate interests (responding to your enquiry) and, where you become a client, on the basis of contractual necessity. Where we are required to retain records for legal or regulatory reasons, we do so on the basis of legal obligation.

How long we keep your data

Enquiry data is retained for up to 12 months. Client records are retained for a minimum of seven years following the end of the client relationship, in line with HMRC requirements.

Third-party services

Our contact form is processed via Formspree (formspree.io). Formspree acts as a data processor on our behalf and processes submissions in accordance with their own privacy policy. We use accounting software such as Xero and KashFlow to deliver client services; these platforms have their own privacy policies and data processing terms.

Your rights

Under UK GDPR you have the right to access, correct, or delete your personal data; to restrict or object to processing; and to data portability. To exercise any of these rights, contact us at james@jamesneil.co.uk. You also have the right to lodge a complaint with the Information Commissioner's Office (ico.org.uk).
